How can a Real Estate Investment Trust (REIT) keep track of all closing binders and documents, develop an on-demand solution to track documents during Due Diligence, and allow real-time access to property managers and operators?
Solution:
Find a 100% web-based SaaS application designed to meet the specific document management, lease management, facilities management, and property management requirements of the Due Diligence group and Lease Administration Department. One of the more important requirements was the ability to provide a “data room.” The “data room” allows departments to share and track documents– abstracted mortgages, operator agreements, lease agreements, etc. – in real time across all departments including property managers and operators.
Results:
After numerous interviews with a variety of software systems including several lease administration and property management software providers, AMTdirect> was selected because of their strong capability across all the real estate management spectrums including their exceptional performance in portfolio management and document management. Now, all the departments are integrated and able to share documents. They are even able to set restrictions to only allow access to certain individuals or departments. The REIT was able to clean up their hallways, which were lined with 8 inch think binders containing contracts and other important financial documents. Another great benefit came from the project manager module. It was a life-saver when it came down to meeting their Sarbanes Oxley requirements. Operators were no exception in seeing the value, as they could now upload all of their Financial Statements; and as a result, avoided the time wasted sending snail mail and chain emails.
